Evelin's Evil Excel Exercises

This is a little walkthrough I cobbled together to demonstrate some of the Excel features I've found useful over the years. It is designed as a practical accompaniment to my "How to Excel at Excel" blog post. In it we shall import some spurious fictional library data from a text file and use it to determine overdue fines. It's not meant to be a serious or definitive example of how to do such a thing; rather it is intended to be an illustrative demonstration of some of the stuff we can achieve with Excel. It begins in quite an elementary way and builds to something a little more complicated, but it's only a superficial scratch on the face of the spreadsheet and there's a lot more to be learnt than is demonstrated in these 60 steps. Still, I hope that what is here may prove of some use. The instructions are written with respect to Excel 2007 and the screencaps are of Excel 2007 being used on Windows Vista at a resolution of 1440x900, so don't be alarmed if what you see isn't exactly identical to what is depicted. If anyone gets lost along the way, there's an exemplar spreadsheet to help you see where things might've gone wrong, but hopefully you won't need it. Good luck and all the best!

Steps 1-5: Import the Data
Gather the Data - Open the File - Select the Input Method - Delimit the Data - Save the File

Steps 6-17: Arrange the Data
Expand the Columns - Transpose the First Record - Expand the Transposition - Transpose the Data Labels - Repaste the Data as Values - Enable Filters - Filter Out a Record Category - Delete Filtered Data - Move Cells - Delete Unnecessary Columns and Rows - Change the Column Widths - Format Leading Zeroes

Steps 18-26: Extract the Time
Insert Columns - Extract a Time from a Text String using =LEFT - Extract the Hours of a Time using =QUOTIENT - Extract the Minutes of a Time using =MOD - Use the =TIME function to combine Hours and Minutes - Consolidate the Formulae into a Single Cell - Delete Redundant Cell Contents - Extrapolate the Time Formula for All Records

Steps 27-36: Extract the Date
Extract Text using =MID - Remove Ordinals using =SUBSTITUTE - Format an Excel-readable Date - Reunite the Date and Time - Consolidate the Date Formulae - Extrapolate the Date Formula for All Records - Extrapolate the Date Formula for Renewals - Anticipate and Correct Errors using =IFERROR - Extrapolate the Date Formula for Returns - Remove Duplication of Data

Steps 37-45: Calculate the Overdues
Add Another Column - Extract Loan Period Data using =IF - Merge Header Cells - Calculate Loan Duration using =IF - Create a Reference Cell for the Report Date - Repair the Loan Duration Formula using =IFERROR - Calculate Overdues - Highlight Overdues using Conditional Formatting - Format Overdues as a Duration

Steps 46-60: Calculate the Fines
Thicken the Plot - Calculate Overdues for 4 Hour Loans - Apply Conditional Formatting to 4 Hour Loan Reports - Determine the Base Date for Further Overdue Calculations - Calculate the Overdue Threshold for 2 Day Loans - Calculate Overdues for 2 Day Loans - Apply Conditional Formatting to 2 Day Loan Reports - Calculate Overdues for 1 Week Loan Items - Calculate Overdues for 2 Week Loan Items - Apply Conditional Formatting to 1 & 2 Week Loan Reports - Create a Combined Overdue Report - Calculate Fines for Overdue Items - Collapse Grouped Data - Tidy Things Up a Bit - Format the Fines and Use Them Wisely
